*The academic history quadrant contains the following sections: high schools attended, colleges attended, college coursework, GPA entries, standardized tests, continuing education courses, SAT subject, AP (Advanced Placement), IB (International Baccalaureate), CLEP (College Level Examination Program), and Senior Secondary Leaving Examinations.

Advisor: First-year applicants can invite anyone who is helping them manage and complete their college application. This can include community-based organizations, parents, mentors, etc. This role allows others to view the application progress.

CAID (or Common App ID): The unique identifier we use to identify applicant accounts within the Common App for both first-year and transfer applicants.

*Centralized transcript collection service: Members can opt into requiring transfer applicants to submit transcripts via the centralized transcript collection service. Applicants have their current college registrar send the transcript to our centralized transcript collection service, which then uploads the transcript directly to the applicant's record in WebAdMIT.

Common App: On the first-year application, the tab specific to the application. The Common App sections include: profile, family, education, testing, activities and writing. On the transfer application, the 'common' quadrants or sections of the application. These three quadrants consist of the personal information, academic history and supporting information portions of the application.

Counselor: First-year applicants are required to invite a counselor, who may submit the counselor recommendation (CR) and potentially other recommendation forms on behalf of the applicant.

Counselor recommendation (CR): Required or optional, based on the member's application requirements configuration. Counselors may submit a recommendation even if it is not required by the college or university. If required, the application will not be considered complete until submitted. The school report must be submitted before the counselor recommendation.

Dashboard is the landing page of the applicant account which provides a snapshot of where the student is with his or her applications. From this page, the student can see their application status, writing supplement status and writing requirements (personal essay, college questions) for the schools they have added.

*Evaluations: Essentially the recommendations (sometimes called letters of evaluation, letters of reference, or letters of recommendation) are submitted electronically by the recommenders themselves; they cannot be completed or submitted by the applicant or another party on behalf of the recommender. The recommendations tab is only available for certain programs that require applicants to submit letters of recommendation. Recommender types include: academic, high school official, personal and professional.

Export codes allow the member to provide a specific code to be sent via export for their SIS or CRM instead of the choice value response that a student selects. For example, if a student selects Accounting as their intended major, the member can receive an export code of ACCT in their exports.

Fee waivers allow an applicant to submit an application without paying a fee. 'Our member colleges want to make sure that application fees do not pose a barrier for any student who wishes to apply for admission.' There are two kinds of fee waivers in the system, the Common App fee waiver and school-specific fee waivers.

Final report (FR): Should not be submitted until after a student has received all admission decisions. Counselors have the option of submitting the report to the following institutions:

  • The college or university at which the student has been accepted and intends to enroll.
  • A college or university at which the student intends to enroll, if admitted from the waitlist. Any information that has changed since the submission of the school report should be updated, such as grades. Once the final report has been submitted, the counselor recommendation, mid year and optional reports are no longer available to submit.

Member screen: Screen that houses member specific questions. Member sections include: general, academics, activities, contacts, family, residency and other information. Found within the My Colleges tab.

Mid year report (MR): Required or optional, based on the member's application requirements configuration. Should be sent when final grades for first semester or trimester are available.

Optional evaluation (OE): Other evaluations are provided by the 'other recommenders' referred to on the application. Other evaluations are from non-academic recommenders such as clergy, coaches, College Access counselors, family members, etc. Recommendations may be submitted as soon as the student's invitation is received.

Optional report (OR): May be used at any point in the academic year to submit updated grades and/or transcripts, as well as to correct errors previously submitted on any report. It should not be used as a substitute for the mid-year or final report. May only be submitted once during the academic season.

Other recommender: Members may allow certain types of other recommenders, besides advisors, teachers, or counselors, to submit recommendations on behalf of an applicant.

Other recommenders types:

  • Arts teacher, clergy, coach, College Access counselor, employer, family member, peer, other ('other' is a fixed type - 'other' cannot be defined)

*The personal information quadrant contains the following sections: communication preferences, biographic information, contact information, citizenship information, race & ethnicity, military history, other information, parent/guardian, and Common App fee waiver.

The portfolio (previously called arts supplement) can be submitted by an applicant two different ways. Members may choose to integrate with SlideRoom and accept submission online, or may choose to host their own portfolio or art supplement outside of Common App

*Programs: Screens that house member specific questions. Programs reside within the fourth quadrant of the application, named program materials. Programs consist of the following tabs, or sections: home, questions, documents, recommendations, and SlideRoom (if configured). For a program to appear under the fourth quadrant, the program would have to be searched for and added.

Recommenders and FERPA: Section where applicants invite and assign recommenders and complete the FERPA Release Authorization.

School report (SR): Mandatory form for all counselors responsible for documenting a student's academic progress. Includes school profile and transcripts. Must be the first form submitted by the counselor.

Teacher: First-year applicants may invite teachers to provide recommendations to member institutions. Teachers most commonly submit the teacher evaluation (TE). Members determine the number of teacher evaluations they will require and accept from their applicants.

Teacher evaluation (TE): May be submitted at any point after the teacher is invited by a student. Includes the written recommendation and the opportunity to provide academic ratings for the student.

*Transfer app ID: Synonymous with 'CAS ID' The unique identifier used to identify applicant accounts within Liaison's WebAdMIT system.

*WebAdMIT: The back end of the transfer application, comparable to how the Control Center functions for the first year application. You can search applications, transcripts, in-progress applicants, export templates, etc. within WebAdMIT.
